Planning a college fest shouldn’t

feel like a crisis.

Problem Statement

While college fests have scaled in ambition, the attendee experience remains broken. Participants often navigate the fest with zero real-time visibility — unsure of what’s happening, where to go, or who to ask. Schedules change without notice. Paper coupons are lost or misused. Essentials like maps, help desks, or lost & found are either buried in PDFs or don’t exist.

When the crowd doesn’t know where to go — the fest loses what makes it magical.

Problem #1: Disconnected Fest Information → No Single Source of Truth

Participants have no central place to check schedules, event updates, or venue changes. Info is scattered across Instagram stories, WhatsApp forwards, and friend circles.

EXAMPLE

A participant arrives for a flagship show, only to find the venue changed 20 minutes ago — and no official communication in sight.

IMPACT

  1. Leads to frustration, confusion, and missed experiences.

  2. Damages perception of the fest’s organization and reliability.

Problem #2: Manual, Outdated Fest Coupons

Food and merch coupons are still paper-based, easily lost, and hard to track. There’s no transparency in usage, no reissuance process, and no digital fallback.

EXAMPLE

A participant buys 5 paper coupons, misplaces 2, and ends up paying twice — with no way to reclaim or report them.

IMPACT

  1. Poor experience for users, especially outsiders unfamiliar with the process.

  2. Increased manual work for volunteers and counters.

Problem #3: No Fest Utility Layer → Poor Participant Experience

There’s no accessible hub for essential tools like maps, help desks, or lost & found. Participants waste time searching for info or stall-hop asking volunteers.

EXAMPLE

A student loses their bag during a DJ night — no central location, number, or platform to report or retrieve it.

  1. Undermines the sense of safety, support, and trust in the fest.

  2. Creates unnecessary crowding and manual query load on help desks.

Solution

The proof-of-concept introduces an immersive reservation system where guests enter a 3D replica of the restaurant, navigate freely, explore tables, and view real-time availability through floating pop-ups. A contextual booking panel with prefilled details streamlines the flow, making reservations seamless and engaging.

Reservations are reimagined as an immersive, transparent, and delightful experience.
